Booking terms
Our contract
All bookings are made with Truly India Tours & Travels (us/we). By booking a trip with us you are deemed to have agreed to these Booking Conditions (which constitutes the entire agreement between you and us) and your booking will be accepted by us on this basis.
Itineraries & routes
Travel requires flexibility. The itinerary provided for each trip is representative of the types of activities contemplated, but it is understood that the route, schedules, itineraries, amenities, and mode of transport may be subject to alteration due to local circumstances or events. Start and end dates remain fixed, as do start and end cities, though specific locations within cities may change.
Deposit requirement
The following deposit terms apply to standard leisure travel bookings with Truly India Tours:
- 20% deposit at the time of confirmation.
- Balance payment due 60 days prior to arrival.
Certain services, including flights, jungle safaris, train tickets, special events, permits, and activities with limited availability, will require full payment at the time of booking.
Please note that deposit terms may vary for Incentive & MICE travel, special interest tours, large groups, luxury train journeys, and peak travel periods including Christmas, New Year, festivals, and special event dates. Specific payment terms, where applicable, will be advised at the time of quotation or confirmation.
Acceptance of booking & final payments
The payment of the balance of the trip price is due 6M0 days before the departure date. If the balance is not received by the due date, we reserve the right to cancel the booking.
Prices & surcharges
Our trip prices are subject to variable and seasonal pricing, both of which are standard practice within the travel industry. Prices may vary in line with demand and availability. Once a booking is paid, any subsequent reduction in pricing will not apply to existing bookings.
Your details
For us to confirm your travel arrangements you must provide all requested details: full names as per passport, dates of birth, nationalities, passport numbers and expiry dates, and any pre-existing medical conditions that may affect your ability to complete the trip.
Cancellation by the traveler
The following cancellation policy applies to standard leisure travel bookings:
- More than 60 days prior to arrival, no cancellation charges.
- 59–45 days prior to arrival, 25% of total package cost.
- 44–31 days prior to arrival, 50% of total package cost.
- 30–16 days prior to arrival, 75% of total package cost.
- 15 days or less prior to arrival, 100% cancellation charges.
Group cancellation terms may vary and will be shared at the time of quote. Bank or payment gateway charges are applicable in case of cancellation, irrespective of cancellation date.
Booking amendments
Transfers between trips or to a third party require at least 30 days' notice prior to departure and incur a fee of $100 per person per change, plus any third-party fees. Changes within 30 days of departure are treated as cancellations and the cancellation policy applies. Other amendments to a booking are charged at $100 per change. No amendments are permitted within 10 days of departure.
Our inclusions
All inclusions for a trip are listed on the relevant trip details page on our website and reiterated in your booking confirmation email. Any claims of discrepancy in inclusions after 72 hours of booking will not be attended to.
Our exclusions
Exclusions for each trip are listed on the relevant trip page and sent to you with your booking confirmation. Any claim regarding exclusions must be raised within 72 hours of booking. Trip prices typically exclude international and domestic flights, airport transfers, most meals, visas, travel insurance, optional activities, and gratuities.
Age & health requirements
Travelers under 18 years of age must be accompanied by a legal guardian, or an escort over the age of 18 appointed by the legal guardian. We have no upper age limit; however, our trips can be physically demanding. It is your responsibility to ensure that you obtain proper and detailed medical advice at least two months prior to travel for any required vaccinations, prophylaxis, and general fitness to travel.
Small groups & combination trips
Many of our tours with a small number of people are combined with each other. It is possible that some of your fellow travellers are part of another group and are joining you just for a day or a part of the tour.
Passport & visas
You must carry a valid passport and have obtained all of the appropriate visas, permits and certificates for the countries which you will visit during your trip. Your passport must be valid for at least 6 months beyond the duration of the trip.
Travel insurance
Travel insurance is highly recommended for all our travellers and should be taken out at the time of booking. We recommend minimum coverage of US$200,000 for personal accident, death, medical expenses, and emergency repatriation, with additional coverage for cancellation, curtailment, and loss of luggage and personal effects.
Disclaimers for rooms & bedding
Triple rooms often use an extra mattress on the floor of a double room rather than three proper beds; please be aware of this where triple occupancy is selected. Twin rooms may feel smaller than doubles and are limited in number. Though we will leave no stone unturned to fulfill the requirement, we cannot guarantee twin rooms in each hotel.
Change of itinerary
We reserve the right to alter the itinerary before or after departure due to circumstances beyond our control. Where additional costs are incurred as a result of post-departure changes (for example, force majeure, weather, or operational necessity), those costs are borne by the traveler.
Tour leader
A tour leader is our representative who escorts the group through the trip. The leader's role is primarily logistical, they may not be a substitute for a local guide. Groups with fewer than 4 travelers are not accompanied by a leader; in those cases the driver supports day-to-day logistics and local guides meet the group at sightseeing locations.
Tour guide
A tour guide is a local expert who shows travelers around a specific city or monument. On some trips, an accompanying guide serves as both leader and guide throughout. The choice of leader and/or guide depends on group size, destinations, and program type.
Acceptance of risk
You acknowledge that the nature of the trip might be adventurous and participation might involve a degree of personal risk. By booking, you accept those risks and the responsibility for your own decisions during the trip.
Limitation of liability
We act as an agent for third-party suppliers (hotels, transport providers, guides, activity operators). To the maximum extent permitted by law, any liability for any loss, death, injury or damage which you may suffer (directly or indirectly) in connection with or arising out of your participation in a trip is excluded. Where any implied warranty cannot be excluded, our liability is limited to either resupplying the trip or refunding the trip price.
Optional activities
Optional activities not included in the trip price do not form part of the trip or this contract. We accept no liability in connection with arranging or operating such activities, even where our leader or guide assists with booking.
Claims & complaints
Any complaint should be raised with your tour leader or local representative at the time so it can be resolved in the moment. If the matter cannot be resolved during the trip, you must submit your complaint in writing within 30 days of trip completion.
On severability
If any provision of these Booking Conditions is found to be unenforceable, that provision will be severed and the remaining provisions will continue in full force and effect.
Photos & marketing
You consent to us using images of you taken during the trip for advertising and promotional purposes in any medium we choose. If you do not wish to be photographed for these purposes, please inform your tour leader or guide at the start of the trip.
Privacy policy
The personal information you provide may be used to operate your trip and, where you have agreed, for marketing. The information may be disclosed to our agents, service providers or other suppliers to enable us to operate the Trip. Applicable law
The laws of Republic of India govern these Booking Conditions to the fullest extent allowable. Any disputes in connection with a trip or these Booking Conditions must be initiated in the courts of New Delhi, India.
